Practical Stay Information
The useful details Ekala needs before arrival so the Guest House and touring can be planned around the real guest
This page is not a list of hotel-style rules. It covers the practical information that can materially affect accommodation, meals, access and the wider Ekala journey. The key principle is simple: tell Ekala what matters from the enquiry stage rather than waiting until arrival.
At a glance
All practical cards need to be on the table early
Ekala can plan around what it knows
Accommodation, room choice, meals, collection times and touring may all be affected by a guest’s practical requirements. If Ekala receives only limited information and the situation on arrival is materially different, it may not be possible to create the arrangement that would have been possible with advance notice.
The result can be a reduced experience or, in some circumstances, an element that simply cannot be supplied. This is not about medical classification; it is about what the guest can and cannot practically do.

Information to Quote
See the concise information Ekala needs when accommodation and touring are first discussed.
Meals should support the journey rather than dominate it
Tell Ekala about anything that materially affects food arrangements
Dietary restrictions, serious allergies and meal timing requirements should be supplied before arrival. Ekala can then determine what can reasonably be provided or what alternatives need to be discussed.
For touring days, ordinary lunch is not included as a standard feature and should not consume valuable specialist touring time unless a particular meal experience is deliberately part of the client’s plan.

Travel Practical Planning
For the wider touring issues around walking, toilets, luggage, meals and fixed commitments.
Mobility needs should be described functionally
Tell Ekala about steps, walking and transfers
Useful information includes how far the guest can comfortably walk, whether steps are manageable, whether a walking aid or wheelchair is used and whether the person can transfer independently into an ordinary vehicle seat.
Ekala vehicles do not have wheelchair lifts or roll-in ramps, and Ekala personnel do not physically lift or manually transfer guests. Where assistance is required, that must be understood before the service is accepted.
Wheelchair & Mobility Requirements
See the fuller mobility and vehicle limitations before requesting an adapted tour or stay.
Smoking, dogs and other household realities should not be surprises
A small family-run Guest House is not an anonymous hotel
Guests should understand the relevant smoking arrangements, the presence of dogs and any other household feature that materially affects whether the property suits them. If somebody has a serious concern, allergy, fear or other requirement linked to these issues, it should be raised before confirmation.
Ekala would rather establish that something is unsuitable before arrival than discover a preventable problem after the stay has begun.
Ekala Family-Run Accommodation
Understand the character of the small family-run property rather than expecting a large hotel operation.
Keep important changes in one email thread
Multiple channels can create contradictory booking records
WhatsApp is useful for short operational communication, particularly once a client is travelling. It is a poor place to maintain complex accommodation, itinerary or practical requirements alongside separate email instructions.
For substantive information and changes, one main email thread and preferably one principal contact person for the party gives both the client and Ekala a much clearer record.
Contact Ekala
Send the dates, guest numbers, accommodation/touring interests and practical requirements that affect the stay.
Tell Ekala what matters before arrival
You do not need to provide unnecessary medical or personal detail. Give Ekala the practical facts that affect accommodation, meals, access, timing or touring so the stay can be planned on the right information.
